Know what every booking cost, collect every demand on time, and keep buyers through possession — on one platform.

Office24by7 runs the whole property sales lifecycle on a single record — campaign spend, every conversation, the site visit, the unit, the booking, the payment demand, the complaint and the referral. Nothing is lost between marketing, the pre-sales desk and the sales team — and it stays alongside your CRM and project registry, never replacing them.

Builders & developers · channel partners & brokerages · plotted developments & townships · commercial & leasing

India-resident data · DPDP Act 2023 compliant · RERA-aligned marketing communications and disclosures · works alongside your existing CRM / project registry

One record per buyer, moving through the funnel — the same journey the fourteen steps below describe. Illustrative data.

Who it’s for

One platform, tuned to how you sell property

The lifecycle is the same; what changes is the product, the funding route and the language. Here is what shifts for each.

Builders & developers

Many projects and towers at scale, role-based access per project, and one funnel and one report across every launch.

Channel partners & brokerages

Multi-developer inventory, lead attribution per partner, site-visit tracking, and a portal that recognises booked buyers only.

Plotted developments & townships

High-velocity enquiries, plot-and-phase inventory, milestone-linked collections, and referral engines that compound.

Commercial & leasing

Longer cycles, tenant and investor qualification, negotiation with an audit trail, and renewals worked deliberately.

What breaks today

Three places every developer loses buyers and money

Spend you cannot trace to a booking

The hoarding, the newspaper insert, the 99acres listing and the channel partner all produced enquiries. Nobody can say which produced bookings, so the same budget gets repeated next quarter on faith.

A pre-sales desk buried in enquiries nobody logged

Missed calls at lunch, portal leads sitting for a day, no site visit rebooked — while a serious buyer waits two days for a call back and books with the developer down the road.

Everything after the site visit run on memory

Booking documents chased over WhatsApp. Construction-linked payment demands that depend on someone remembering. The next unit assumed rather than worked. The happiest owner in the building never asked for a referral.

The master flow

One connected flow: Marketing → Pre-sales → Sales → Post-sales

Four phases on one record, with two layers woven through every one of them — Communication and Support — and a loop that feeds the next Marketing cycle.

Marketing

Get enquiries in — tracked, and clean · Steps 1–3

✦AI in Marketing — voice, chat and WhatsApp bots answer and capture after-hours in Indian languages, duplicate and family matching keeps one buyer as one record, analytics score each source with its reasons, and cost per booking per portal, hoarding or channel partner drives what to fund next. It proposes; your people decide.
Marketing runs as two separate flows — both land on the same record, source stamped on arrival:
InboundEnquiries that come to you
Web · missed call · WhatsApp · QR · walk-in · portal · referral→Capture — one inbox→Validate
OutboundYou go out and get them — the channel-partner network
Channel partners & site teams source buyersbrokers, property expos, portal leads, partner databases→Upload · de-dupe · validate→Assign to the sales telecaller→Outbound call
↓Both flows converge into one qualified funnel — the sales desk, where every enquiry is worked the same way.
The channel-partner network — buyers sourced from outside

Your channel partners, brokers and site / expo teams source prospective-buyer data from outside — property expos, site launches, partner databases and portal leads. Every record is de-duplicated and validated, then assigned to a sales telecaller for outbound calling — a site-visit invite. The channel partner and the source are stamped on each record, so payout and cost per booking are measured per channel partner, per project and per event. It coordinates — it never approves a booking, a price or a discount.

Pre-sales

Qualify and route into a real site visit · Steps 4–6

✦AI in Pre-sales — call notes and dispositions write themselves, document intelligence reads KYC and income proofs, and a copilot answers the sales manager from your own approved prices, inventory and availability. It proposes; your people decide.
3

Sales

Convert the enquiry into a booking · Steps 7–11

✦AI in Sales — site-visit and booking reminders run on cadence, sales and collection forecasts run with confidence, and the booked buyer is written back to your CRM and registry with zero re-keying. It proposes; your people decide.
4

Post-sales

Keep them, collect from them, and be referred · Steps 12–14

✦AI in Post-sales — the WhatsApp service bot handles demands, receipts and requests, complaint themes surface on their own, cancellation and payment-slip risk shows the factors behind every flag, and collection & referral forecasts look ahead. It proposes; your people decide.

Marketing

Get enquiries in — tracked, and clean · Steps 1–3

1Attract and track

Every project, every portal, every hoarding and every channel partner gets its own way in — a tracking number, a QR code, a coded link or a vanity keyword. A hoarding near the catchment gets its own number so the location can be judged. A site-board gets its own QR so the passing footfall can be judged. Digital spend arrives by API; print, outdoor and channel-partner spend is entered against the order. And Marketing runs two ways: inbound enquiries that come to you, and outbound sourcing where your channel partners, brokers and site teams gather buyer data from outside — property expos, site launches, partner databases and portal leads. Inbound or outbound, every source is tracked before a rupee is spent.

  • ✓Project, placement and creative structure, so reporting goes deeper than ‘Google is working’
  • ✓Tracking-number pools, dynamic QR codes you can repoint without reprinting, coded short links
  • ✓Channel-partner sourcing tracked per channel partner, per project and per event — partner effort is measured, not guessed
  • ✓Spend against results per placement — cost per enquiry the same week the campaign runs
2Capture everything, in one place

Web forms, missed calls, IVR, WhatsApp, site-board QR scans, walk-in register, bulk uploads, portal handoffs from 99acres, MagicBricks and Housing, and channel-partner submissions all land in one inbox with the source stamped on arrival. This is where the two flows meet: inbound enquiries arrive on their own, and the outbound channel-partner lists your partners and site teams collect are uploaded in bulk, de-duplicated against existing records, validated, and assigned to the sales telecaller for outbound calling — a site-visit invite — through the same inbox and the same gate.

  • ✓Missed calls become enquiries with a callback task and an acknowledgement message
  • ✓Portal leads from 99acres, MagicBricks and Housing arrive by API, deduplicated on the way in
  • ✓Channel-partner lists uploaded, de-duped and assigned to the sales telecaller for outbound calls
  • ✓Source is locked at creation, so a later click can never erase the campaign that started it
3Validate before anyone spends time

A gate at entry checks completeness, number format and duplicates. What fails goes to a correction queue owned by the person who supplied it, not to the desk that has to work it. Repeat enquiries and family members are linked rather than duplicated.

  • ✓Junk and incomplete rows never enter the funnel
  • ✓Duplicate merge and family linking, so one buyer is one record across projects
  • ✓Data quality by source becomes visible, which changes portal and channel-partner conversations
2

Pre-sales

Qualify and route into a real site visit · Steps 4–6

4Qualify at the pre-sales desk

A verification call captures what routing needs before a sales manager is involved: budget, the funding and home-loan route, the configuration or BHK wanted, the possession timeline, purpose — end-use versus investment — and who actually decides. Qualified is a checklist, not an opinion.

  • ✓The essentials captured once — budget, BHK, funding route, purpose and decision-maker
  • ✓A fixed disposition list, a reachability ladder across calling windows, and recordings on every call
  • ✓Every ‘not now’ exits to a named resting state with a follow-up date — budget gap, possession too far, still comparing, investor on hold
5Assign the right sales manager

Routing on project, location, language and current load, so the buyer speaks to someone who can actually help them, in the language they prefer.

  • ✓Sales manager 360 view opens with the budget, the recording and the funding route already on it
  • ✓No buyer is asked the same questions twice
  • ✓Load balancing that holds up on a launch-weekend rush
6Counsel and invite to a site visit

The sales manager runs a needs analysis — configuration, budget, funding route and possession expectation — and sets up the site visit around whoever decides. Objections and concerns are logged against a fixed list so patterns become visible instead of anecdotal.

  • ✓In-person, phone or video, with reminders to everyone who needs them
  • ✓Objection intelligence: which concerns — price, possession date, location, loan eligibility — cost you the most bookings
  • ✓A dated next step before the record can be left alone
3

Sales

Convert the enquiry into a booking · Steps 7–11

7Run the site visit as an event

Booked, reminded, hosted, attended, followed up. The measure is site visits that happened, not site visits booked — because a booked visit nobody chased is how the funnel flatters itself.

  • ✓Slot booking with sales-manager allocation and arrival marking
  • ✓Same-day call and rebook on a no-show
  • ✓Post-visit feedback captured while it is still fresh
8Shortlist and documents without the chasing

Unit selection, KYC documents and home-loan pre-qualification run as a workflow that holds the unit until the file is complete. The chasing is done by cadence, not by a person remembering.

  • ✓Pending-document and loan-file reminders with an upload link, on the channel the buyer uses
  • ✓Status per document and per approval, with remarks and re-upload requests
  • ✓Funding route captured as a field, because self-funded, home-loan and NRI routes behave differently
9Negotiation and approval

Price and discount are negotiated against your published price list, and every concession routes through an approval matrix with a full audit trail. The platform carries the quote, the discount request and the approval — it never approves a price or a discount by itself. A person decides, and the trail shows who.

  • ✓Quote built from your inventory and price list, with the evidence attached
  • ✓Discount approval with amount, reason, approver and decision recorded
  • ✓No automated pricing decision of any kind — the AI drafts the quote, an approver signs off
10Booking, token and validity

The token or booking amount carries a validity clock. Payment and booking links go on every touch. When validity expires, the unit releases and a follow-up opens instead of the record sitting blocked.

  • ✓Token-and-booking chase cadence to the buyer and co-applicant before expiry
  • ✓Booking amount recorded with receipt, part payments supported, refunds against a published rule
  • ✓Inventory and hold management, so a blocked unit redirects demand instead of wasting it
11Booked — the same record, converted

The paid token is the handover. The enquiry becomes a booking in place: contacts, KYC, documents and the entire conversation history carry forward, and the booking is written back to your CRM and project registry so nobody types it twice.

  • ✓Zero re-keying between the pre-sales desk and your CRM or registry
  • ✓Source ROI closed out — cost per booking by campaign, portal, hoarding or channel partner
4

Post-sales

Keep them, collect from them, and be referred · Steps 12–14

12Onboard, collect and serve

Agreement and registration checklists with owners and due dates. Construction-linked payment demands raised on milestones, with reminders and a human escalation ladder. A service desk with categories, an SLA clock and escalation to the sales manager and project head, all the way to handover.

  • ✓Pre-due reminder, due-day demand, then relationship manager, sales manager, project head, management — each with an owner and a window
  • ✓Receipts on every payment, part payments supported, refunds against a published rule
  • ✓Buyer complaints stop dying in WhatsApp groups and start carrying a clock
13See the cancellation coming

Payment-milestone delays, cancellation-risk signals and open complaints combine into one risk band that always shows its reasons. A retention cadence attaches to it: relationship-manager call, reminder, re-scheduling of demands, a check-in from the desk.

  • ✓Risk with reasons, never a bare number
  • ✓The intervention and its outcome recorded, so you learn what actually keeps a booking
  • ✓Management sees how many bookings are at risk of cancellation and what is being done about each one
14Renew, then be referred

The next unit and the second home are worked, not assumed — a pipeline with owners and stages opens deliberately. Family members arrive through the family link with data pre-filled. Channel partners stay worked. Every referral carries attribution back to the owner or channel partner that sent it.

  • ✓Lapsed-interest reasons captured, so the pattern is fixable
  • ✓Second-home, next-unit, owner and channel-partner pipelines worked deliberately rather than by luck
  • ✓Referral cost per booking — almost always the lowest number on your marketing report
Campaign tracking

Even the site-board can be measured

… provided the tracking asset — a number, a QR, a coded link — is on the creative before it goes out.

GroupSourcesHow each is tracked
Paid digital and socialMeta, Google, YouTube, regional platforms, influencersLead payloads with campaign, ad set and creative IDs; coded links; click-to-WhatsApp reference codes
Organic and ownedSearch, website, Google Business Profile per project, WhatsApp, email, SMS, RCS, pushTracking numbers on each profile, coded links per send, form-to-campaign mapping
Property portals99acres, MagicBricks, Housing, commercial and NRI listing networksOne lead endpoint and one tracking number per portal, subscription or commission recorded as spend
Print and broadcastNewspaper display and insert, magazine, TV, radio, cinemaA tracking number and QR unique to the publication, edition, channel or slot; a spoken keyword for radio
Outdoor and localHoardings, site-boards, bus and auto branding, project-front signage, pamphletsOne number and one QR per site or distribution zone — so the location itself is the campaign
Events and exhibitionsProperty expos, launch events, society activations, NRI roadshowsExpo or venue as the placement; walk-ins, site visits and bookings measured per event
Channel partners & referralsChannel partners, brokerages, owner referral, staff referralReferral codes and links with attribution to the channel partner or family; a channel-partner portal that recognises booked buyers only

Three rules the page states plainly

  1. One tracking asset per creative per placement. A number reused across two hoardings measures nothing.
  2. Source is locked when the enquiry is created. Later touches are recorded as assisting, never as replacements — otherwise awareness media gets written off for work it did.
  3. What cannot be tracked directly is reported as modelled contribution, in a separate column, clearly labelled as an estimate.

The trap this catches: a portal or channel partner with the lowest cost per enquiry and the highest cost per booking is the most expensive source you have — and usually the one being scaled.

Communication — woven through every phase

One layer, every channel your buyers use

The Communication layer runs across Marketing, Pre-sales, Sales and Post-sales — both ways. It sends (campaigns, reminders, the site-visit-and-booking chase, payment demands and receipts) and it answers (the conversational bots below), all on the same channels, opt-in and DLT-compliant by default.

The conversational front line

Always on · Indian languages

Voice bot for the calls you miss

After-hours and missed calls are answered, and site-visit and payment-reminder sweeps run at scale — in the buyer’s language. It always says it is automated, and it never quotes a price or approves a booking.

  • ✓Missed-call and after-hours enquiries answered and logged, source stamped on arrival
  • ✓Site-visit, booking and payment-due reminders dialled at scale
  • ✓Speaks Hindi, Telugu, Tamil, Kannada, Marathi and more — the buyer chooses
  • ✓Every call recorded, transcribed and summarised onto the record

Hands to a sales manager the instant price, negotiation or a booking comes up.

WhatsApp bot that follows the rulebook

The channel buyers actually read. Opt-in enforced, approved templates and session windows honoured — with site-visit buttons, document uploads, payment links and brochures on consent in the thread, and a sales manager able to take over mid-conversation.

  • ✓Click-to-WhatsApp campaign references captured for attribution
  • ✓Site-visit booking, floor plans and reminders with confirm buttons
  • ✓Document upload, KYC and booking payment completed inside the chat
  • ✓Brochures and receipts delivered on request, with consent

Your sales manager takes over the same thread without losing a word of history.

Support — woven through every phase

A service desk that carries a clock

A question at enquiry, a document query during booking, a payment or possession issue after — every request from any phase becomes a ticket with a category, an owner and an SLA, and a clear escalation ladder when it needs to move. Complaints stop dying in WhatsApp groups.

  • ✓Categories, priorities and owners on every request — nothing stays a loose message
  • ✓An SLA clock on each ticket, with breach alerts before it is too late
  • ✓A buyer-visible status portal, so ‘where is my receipt / demand / possession update?’ answers itself
  • ✓The WhatsApp service bot deflects demands, receipts and routine requests first
  • ✓CSAT and feedback captured on resolution, so service quality is measured, not assumed
  • ✓A knowledge base the bot and the desk answer from — one source of truth

The AI layer

AI that proposes. Your sales managers and approvers who decide.

AI is one of the three layers woven through the flow — it assists at ten of the fourteen steps, flagged with the AI marker above. Communication and Support are the other two, each with its own section. It reads and writes the busywork and tells you what is coming — and it never approves a booking, a price or a discount on its own.

A

Comprehension — the busywork, read and written for you

The reading, typing and matching that used to eat a sales manager’s day.

Document intelligence

KYC documents, income proofs and prior agreements are read the moment they are uploaded — fields extracted, name and date of birth checked against the enquiry, expiry and blur flagged. The file completes faster and the sales manager verifies instead of typing. It reads paperwork; it never approves a loan or a booking.

Call summaries and disposition

Every sales call is transcribed, summarised and its disposition drafted — objections tagged against your fixed list and the next step proposed. After-call typing drops, and call quality is scored against your own scorecard rather than sampled by hand.

A copilot for the sales manager

A sales manager asks in plain language — the price of a 3 BHK on a high floor, which units are unsold, the current payment plan — and gets an answer grounded in your approved inventory and the live record, with the source shown. It drafts the reply; the sales manager sends it. It never quotes a price you have not published.

Duplicate and family resolution

Fuzzy matching links repeat enquiries, family members and re-submissions into one record instead of four rows — so spend is never double-counted and one buyer is never worked by three sales managers at once.

B

Foresight — analytics that say why

Never a bare number. Every score and forecast shows the factors behind it.

Campaign suggestions and ROI

Cost per booking is computed for every placement — campaign, portal, hoarding or channel partner — not estimated. From it the system proposes next quarter’s moves: scale the portals that convert, cut the source with the lowest cost per enquiry but the highest cost per booking. It recommends the budget shift with the numbers behind it; your marketing head signs off.

Enquiry scoring, with reasons

Each enquiry carries a score and the factors behind it — source quality, budget fit, urgency, funding route — so the desk works the right rows first and can see why. The score is a signal for a person, never an automatic accept or reject.

Sales and collection forecasts

Where the quarter’s bookings will land, and how much of your construction-linked demands will actually arrive, each with a confidence band, so a shortfall is visible in week two, not discovered at quarter-end.

Cancellation risk, with its factors

Payment-milestone delays, cancellation signals and open complaints combine into one risk band that always shows its reasons, and a retention cadence attaches before the booking cancels. It flags disengagement, never a certainty.

Complaint and objection themes

Service tickets and lost-reason notes are clustered on their own, so a systemic problem — a delayed possession, a pricing objection, a recurring concern that costs bookings — surfaces instead of hiding in a thousand threads.

What the AI layer never does

By design, the AI layer cannot approve a booking, a price or a discount or decide eligibility, and it tells buyers it is automated. It treats an internal score as no more than a signal, and does not make a possession, appreciation or returns claim your project cannot evidence. Every automated output records the model that produced it and the data it was grounded on. For a real-estate buyer, stated limits build more confidence than stated capability. See the AI Intelligence Layer and AI Studio.

Integrations

It works with what you already run

Your CRM / project registry

Inventory, unit and booking signals in; enquiry, conversation and collection data out. Your registry, agreements and accounting stay exactly where they are.

Advertising platforms

Meta and Google lead capture and spend in; qualified and booked events pushed back so the platforms optimise for bookings instead of form fills.

Communication

Cloud telephony and tracking-number pools, WhatsApp Business, DLT-registered SMS, RCS, email and push.

Response capture

Website forms and landing pages, dynamic QR and short links, chat, event self-registration, field mobile app, channel-partner portal.

Property portals & money

99acres, MagicBricks and Housing lead endpoints; payment gateway for booking and demand links; accounting handover for media invoices and collections.

Anything else

Trust and compliance

Built for developers, and for RERA-aligned marketing

Data residency

DPDP compliant, with India-only data residency, retention and erasure controls.

RERA-aligned communications

Marketing communications and disclosures are kept consistent with RERA expectations. Consent for marketing is recorded as evidence — purpose, channel, timestamp and withdrawal — and no possession, appreciation or returns claim goes out without evidence behind it.

Channel compliance

DLT-registered SMS templates, WhatsApp opt-in and template approval, unsubscribe honoured, and a single suppression list respected across every channel.

Frequency discipline

Caps applied across call, WhatsApp, SMS and email together, so one buyer is never hit by four systems in a day.

Access control

Scoped by project, team and role. A project head sees their project. Channel partners see their own leads and never your buyer data.

Records stay yours

The developer’s data stays with the developer when a sales manager or channel partner leaves.

Governed on the Security & Access layer — India residency, DPDP alignment and role-based control by default.

Proof

What you will measure from week one

Site visits attended, not just booked

Construction-linked demands collected on time

Cost per booking by source

Next quarter’s revenue already secured

Every portal and channel partner is tracked by what it actually brings — so dead listings can be cut and budget moved to the sources that convert bookings.

Construction-linked payment demands run on a reminder ladder with owners and escalation windows, so collection stops being a month-end scramble.

A buyer’s WhatsApp question after hours is answered, and the sales manager picks up the same thread the next morning — one record, no repetition.

We baseline your own numbers on one project in week one — ask us for a reference call with a developer like you.

The four numbers

Four questions you should be able to answer in ten seconds

1

What did each booking cost us, by source, campaign, portal and channel partner?

2

How much of what we have demanded on construction milestones have we actually collected?

3

How many bookings are we about to lose to cancellations and payment delays, and what is being done?

4

How much of next quarter is already secured — second homes, next units and referrals?

If answering any of these takes a week of reconciliation, the problem is not reporting. It is that the four answers live in four places.

FAQs

The questions that decide a real-estate deal

No. Your CRM and registry keep inventory, agreements, accounting and legal records. Office24by7 owns the enquiries, conversations, site visits, bookings, collection workflow, service and lifecycle around them, and integrates both ways so nothing is entered twice.

Two things. The record continues after the booking — collection workflow, service, retention, next unit and referral run on the same record rather than a separate system. And marketing spend is attached to it, so cost per booking by placement is computed rather than estimated.

Buyer data stays in India under the DPDP Act 2023, consent for marketing is recorded as evidence, and marketing communications and disclosures are kept aligned with RERA expectations. No possession or returns claim goes out without evidence behind it.

No. The bots and the AI layer never auto-approve a booking, a price or a discount. They coordinate — booking site visits, reminders, document uploads, payment links — and hand any pricing or negotiation to your sales manager immediately.

Yes, when the tracking asset is on the creative — a unique code, number or QR per portal, hoarding or channel partner. Cost per booking is then computed per source, and what cannot be tracked directly is reported separately as modelled contribution.

A focused pilot on one project and one sales team, with your five key numbers baselined in the first week so the result is measured rather than asserted.
