Cloud telephony, explained: a buyer's guide for growing teams

By Office24by7 Team · 9 Oct 2026

“Cloud telephony” gets used to mean everything from a single virtual number to a full contact centre. If you're buying, that vagueness costs money. Here's a clear map.

What cloud telephony is

It's your business phone system — numbers, call routing, IVR, recording, analytics — delivered over the internet instead of physical phone lines. No PBX hardware, no per-desk handset. You provision numbers, build call flows and add agents from a browser, and it scales up or down in minutes.

The features that actually matter

  • Multi-level IVR: route callers by language, department or priority before a human picks up. Good IVR shortens calls; bad IVR traps people in menus.
  • Intelligent distribution: skill-based, round-robin, wait-time and priority routing so the right agent answers — not just the next one.
  • Call recording & analytics: every call logged, searchable and tied to the customer record, with reports on volume, wait time and outcomes.
  • Queue management: callbacks, position announcements and after-hours handling so you stop losing callers to hold music.
  • CRM-native: the call opens the customer's history automatically, and the outcome writes back to the deal. This is where most standalone dialers fall down.

Cloud telephony vs a call centre

A call centre is a use case; cloud telephony is the infrastructure. A three-person sales team and a 200-seat support floor can run on the same platform — the difference is how many agents, queues and IVR levels you switch on. Buy infrastructure you won't outgrow, not a tool sized for today.

Questions to ask a vendor

  1. Is calling metered per minute, or included? Model your real monthly volume.
  2. Does a call automatically surface the customer's CRM record and write the outcome back?
  3. How many IVR levels and routing rules can I build without support tickets?
  4. What happens to a call after hours or when every agent is busy?
  5. Can the same platform send the follow-up SMS or WhatsApp, or do I need another vendor?
If the call and the customer record live in different systems, your agents are doing integration work on every conversation. That's the tax cloud telephony is supposed to remove.

Office24by7 runs cloud telephony, IVR and call analytics inside the same platform as your CRM and messaging, so a call is never an island. Explore cloud telephony or book a walkthrough.
